Start small. Use a free chatbot to draft review replies and FAQ answers. Add a free booking page for scheduling, a free invoicing app for quotes, and a free social scheduler with an AI writing helper. Every tool below has a free tier. We checked prices on each vendor's own pricing page on 2026-10-27.
One rule before you start
You stay in charge. AI tools are good at a first draft. They're not good at knowing your business. Read everything before it goes out, fix anything that's wrong, and make it sound like you.
Also, keep private details out of chatbots. Leave out customer last names, phone numbers, addresses and payment details. You don't need them to get a good draft.
Prices change. Each one below was read from the vendor's own pricing page on 2026-10-27. Check it again before you sign up.
1. Reviews: reply faster with a drafted first pass
Tools: Google Business Profile plus a free chatbot such as ChatGPT.
Price: Google says a Business Profile is free. ChatGPT's pricing page says a free version is available to everyone. It also lists paid plans, so check current pricing if you want more.
How to use it: Copy the text of a review, without the customer's full name, into the chatbot. Ask for a short, warm reply in plain language. Then edit it so it sounds like you and mentions something specific.
Google says replying shows customers you value their feedback. You need to verify your business before you can reply. Replies are checked against Google's content policies and usually post within about 10 minutes, though it can take longer. Google also lets you share a review request link or QR code, which is a simple way to ask happy customers for a review.
2. FAQs: turn the questions you answer every day into a page
Tool: ChatGPT (free version).
How to use it: Write down the ten questions you hear most, with your own rough answers. Paste them in and ask the chatbot to tidy the wording without adding anything new. Check every fact, especially prices, hours and service areas.
Put the finished answers on your website and keep your Google Business Profile in line with them. Google's guidance for AI features tells site owners to make important content available as text. An FAQ page does exactly that.
3. Scheduling: let people book without phone tag
Tool: Calendly.
Price: Calendly's Free plan covers one event type and one calendar connection. Its Standard plan is $10 per seat per month billed yearly, or $12 billed monthly.
How to use it: Set up one booking type, such as "15-minute call" or "estimate visit". Set the hours you're actually free. Add the link to your website, your Google Business Profile and your email signature.
To be honest, a booking page isn't really an AI tool. It's on this list because it saves the same kind of time.
4. Quotes: send clean estimates from your phone
Tool: Square Invoices.
Price: Square's invoices pricing page lists a Square Free plan at $0 per month that includes invoices, estimates and contracts. On that plan, card payments on invoices cost 3.3% + 30¢ each, and bank (ACH) payments cost 1% with a $1 minimum. Square Plus is $49 per month per location, with a 30-day trial.
How to use it: Build one estimate template for your most common job. Use a chatbot to tighten the scope wording if it helps, then check the numbers yourself. Send it the same day you visit.
5. Social posts: plan a month in one sitting
Tool: Buffer.
Price: Buffer's Free plan includes its AI Assistant, up to 3 channels and 10 scheduled posts per channel. Its Essentials plan is $5 per month per channel, billed yearly. Buffer also lists Google Business Profile among the channels it supports.
How to use it: Pick one or two channels you already use. Ask the AI Assistant for a handful of post ideas based on your real work this month. Rewrite them in your voice, add your own photos, and schedule them.
What to skip for now
- Fully automatic replies. Letting a bot answer reviews or customers with no one checking can go wrong fast.
- A pile of subscriptions. Start with free tiers. Upgrade only when you hit a real limit.
- Anything that promises to "rank you number one". Google says there's no way to pay for a better local ranking.
A simple one-week plan
- Monday: Reply to your last five Google reviews.
- Tuesday: Write your top ten FAQs.
- Wednesday: Set up one booking type.
- Thursday: Build one estimate template.
- Friday: Schedule a week of social posts.
That's about an hour a day. By Friday, you'll know which of these tools is worth keeping.
Questions
Are free tiers really enough for a small business?
Often, yes, to start. Each tool in this post has a free tier, though each one has limits, such as one event type on Calendly's Free plan or 3 channels on Buffer's. Start free and upgrade only when you hit a limit.
Is it safe to paste customer details into a chatbot?
Keep private details out. You can get a good draft without a customer's last name, phone number, address or payment details. Paste only the text you need help with.
Will AI-written replies sound fake?
They can if you post them as is. Use the draft as a starting point, then add a specific detail and say it the way you would in person.
Do these prices change?
Yes. We read each price from the vendor's own pricing page on 2026-10-27. Check the page again before you sign up.
